Meeting Minutes

Sunday February 17th 2008

 

The meeting was convened at 5:15 so we could make sure that everyone that was coming would be there. In attendance were: Nat Oawster (President), Philip Uildriks (Vice President), Shellie Harris (Secretary), Daniel Oawster (Treasurer), Jeff and Johnny Kutz, Devan Smith and myself Paul Williams (Chairman of the Board).

Those not in attendance but with an excuse were: Cory Kurbow, Tim and Olivia MacAlistair, Preston Baughman, Jason Houseman, Kevin Warriner, Alfonso Parada, David and Jeff Holvick.

Those not in attendance: Mike Antinorri, Bill Bassett.

 

Old Items Discussed:

1) Paul Williams discussed how the club was going to get it's (501c3) Not For Profit status by first applying to the state of Missouri and becoming a Not For Profit corporation and then applying to the I.R.S. and getting a tax exempt status from them. The initial cost for the not for profit status would be $25.00. He had the form all filled out and all that is needed is two more signatures for incorporation with the state.

2) Paul showed his idea for our temporary t-shirts for the club, the cost including the iron-on stencil would be close to $5.00 per shirt.

3) Nat will speak to coke about becoming a sponsor. Tim will speak to Tim Robotham our other sponsor at Sadies about the same thing. Nat hadn't had the time to speak to Coke yet but will. And Paul spoke to Tim and his wife Molly about a Cruiz-in once a month and they were all for the idea.

4) At the next meeting we will see if Daniel has Jubilee as a new sponsor. Daniel spoke to Jubilee and since it is a lean time of year they don't have the extra funds to sponsor us but they want us to come back later in the spring and propose the idea again to them.

5) On Phil's next day off he and Paul are going to Mickey's to get the sponsorship contract completed and collect the sponsorship funds, head on down to Ball and Prier tire to see if they might sponsor, stop and see Mike Lively at Lively Signz and Designz who was a sponsor of Gen. II and see if he would sponsor again. Nat is going to talk to the owners of BB muffler and see if they will sponsor. Tim is going to the detail shop in mount Branson and see if they will sponsor.

Paul and Phil got the sponsorship contract from Mickey's and they are going to make a club bank account. Paul is going to get back with Mike ball from Ball and Prier about sponsorship, Mr. ball has been sick and very busy. Mike Lively signed on as a sponsor of the club and he already has a we presence on our site. Nat hasn't had the chance to speak to BB muffler as of yet and Tim has been out of town in Colorado  for a month.

 

New items Discussed:

1) Sadies Cruiz-in. Will be held on one Sunday night a month. Mickey's Cruiz-in will be held one Saturday night a month between the Cruisin USA ice cream show in Nixa.

2) Daniel mentioned that our website is up on area57.com. See about setting up a Cruiz for them.

3) Devan mentioned that he can get some graphics done for the club at Creative Graphics in Branson.

4) The shop!!!!! Sarah Houseman the co-owner of the building where we want to put the club shop told her son Jason that she was led to believe that the price quoted us by the current landlord Mike of $425 per month included not only the back shop but the middle shop as well. I told him to tell her no, that Mike quoted us $500 for the middle shop and $425 for the back shop. Jason said his mom Sarah thought that the price of $425 was a bit to much to pay for a space with no heat and no air conditioning.

So I am going to speak with Mike and see if we can get the price lowered for the club. Click to see what has happened so far.

5) It was brought up about having insurance for the new clubhouse. We decided that a waiver will be made and that club members will sign it making the club not responsible if something happens to them while working at the club. Jeff brought of that your personal insurance and or homeowners insurance should cover you working on your own vehicle. If we were working on other peoples cars for profit we would need to carry some sort of liability insurance, since it is for the club and the members cars all we need is a waiver.

6) Paul Williams, myself, purchased an upright air compressor that can be used at the new shop.

7) Shellie Harris our secretary, brought up the point about tools at the shop and who can use them. I and the other members agreed that it will be a matter of trust for the members who don't have tools that they will put them back where they got them.

8)Another possibility for a shop is a body shop that is going out of business in Reeds Spring, Shellie and I know the guy who owns the body shop so we can see if it might be available. The only problem with it is the distance that we have to travel to get to it. Nat would be the farthest away, I would be the next farthest with Kevin being the closest.

9) Jeff mentioned about a friend of his in Mountain Home Arkansas who would be interested in joining our club. His friend may not be able to make the meetings but would probably be able to make a few cruiz-ins. We mentioned to Jeff to see if his friend would start a new chapter in Mountain Home. We can have a meeting once a month with the main officers of the chapters then each chapter would have it's own meeting to discuss what went on in the officers meeting.

10) Daniel brought up the idea of how we need to bring in revenue to the club, he stated that Paul can't keep on buying everything for the club when it is needed. The idea of a monthly dues was brought up, the idea of a "tip Jar" or "kitty" would be placed at each meeting to collect donations from each member. The idea of TOPLESS car was brought up. Don't get the wrong idea, we have people standing at the entrance to wherever we are doing this to collect the money and when they come around the building there would be the guys washing cars. Good Idea! The idea of candy as well as community support was also brought up.

11) The idea of getting a car, fixing it up and then raffling it off was brought up.

12) The idea of "renting" space on an hourly basis to people outside of the club a space so that "they" can work on their own car, that way there would be no liability issue with insurance. The idea of renting space to club members who are not in the monthly rental portion was brought up at the meeting.

13) It was brought up that this meeting was the last meeting when smoking will be allowed. There are a few members who smoke, but the majority of members don't smoke. So as a courtesy to the non smokers, all meetings and the club house will become NON SMOKING. If a member has the need to smoke and we are at Phil's for a meeting then we can put the meeting on hold for a smoke break and then resume it. If we are at the shop then there will be a smoking area designated outside of the shop somewhere.

14) Paul brought up about our charitable organization St. Jude's Children Hospital and how the club is going to adopt a family. What Phil and Paul are going to do is go to family services and find a few families in need and then go and interview them to see how desperately in need they really are. Then the club will takeover items such as birthday's and holidays and school starting items for a year to help the family get back on their feet, so to speak.

15) The idea was brought up about building a "Club Car" so members who don't have a car to race on the strip or don't know how to race can have a vehicle to use to learn how.

16) It was brought up about the possibility of building a "Pinks" car.

17) It was brought up about building a car for a raffle to get funds into the club.

18) The next meeting will be held on SATURDAY March 15th 2008 at 10am. This gives the opportunity for members who work at night or have special commitments at night to attend  the meetings.
